From voice notes to AI-assisted site diaries: records you can actually check

Dictate observations, not approvals
An AI-assisted site diary can begin with the supervisor's voice note after a visit. Its potential value is keeping details from disappearing between calls, journeys and messages. However, transcription and summarisation are different operations: one attempts to capture what was said, while the other selects and interprets it. Keep that distinction visible. A phrase such as awaiting inspection must not become inspected, and a worker's observation is neither technical certification nor client approval. The diary should preserve uncertainty instead of polishing it into a misleading account of completed work.
Use a short dictation template: project code, observation date, location, work completed, blocker and next check. Record only when safe, away from active operations and never while driving. Do not record other people's conversations by default. Test with your own notes without personal data, then agree appropriate working rules with the team. Microsoft documents services that convert audio files into text; this does not establish that a particular service will correctly identify every product name, quantity or expression used on a Spanish renovation site.

A diary with evidence and owners
Request four groups: observed facts, communicated decisions, proposed tasks and information requiring confirmation. A task should have a proposed owner and a date only where these are present in the audio; otherwise show unassigned. Link photographs by their identifiers without claiming they prove something outside the frame. If the supervisor says a wall looks dry, the diary must not turn that into a measured moisture result. Test results should come from the professional's actual report, with its date and location, rather than from an inferred summary of a conversation.
For a second-home renovation in El Campello, the owner may receive updates from another country. Keep an internal coordination record and a client-approved update, without concealing problems affecting the agreed scope. The full home renovation guide helps organise stages, while the electrical inspection guide identifies checks requiring a specific professional service. A more polished diary must not replace a survey or imply acceptance of an installation still awaiting verification. Explain the difference between progress, inspection and acceptance clearly in the client version.
Test difficult errors before expanding
Include noisy audio, spoken corrections, similar names and easily confused numbers in the pilot. Check negations especially: the ceiling has not been closed means something entirely different when not disappears. A useful instruction retains the original wording beside uncertain data and returns questions rather than inventing answers. If a recording is unclear, repeat the note or enter the fact manually. Do not combine several projects in one session: an address, date or delivery can otherwise be assigned to the wrong customer. Verify project identity before the draft is saved.
Measure the time from the end of the visit to supervisor approval, including corrections. Count invented tasks, altered status and significant omissions. Connect the pilot to your site documentation process and site-manager-reviewed planning. Do not connect the first experiment to automatic messaging or certification. Success means a more reliable record that is easier to review, not the number of reports generated without supervision. Keep rejected drafts available during evaluation so recurring transcription mistakes can be identified and addressed.

An example to test the workflow
Example test: dictate that the material arrived, but its reference has not yet been checked and it must not be installed. A correct diary retains all three points and leaves installation pending. Then test a note in which the speaker corrects a quantity halfway through a sentence. Review should show which figure was confirmed or request clarification where that is unclear. These examples reveal failures hidden by a clean-audio demonstration. Retain an incomplete recording as well, to check that the system does not invent how the visit ended or claim a decision was made.
Source and pilot boundaries

Before using real data, review access, retention and the AI provider's terms with your company's responsible person. Start with synthetic or anonymised information. The pilot must allow drafts to be corrected or rejected, original documents to be retrieved and work to continue manually if the service fails. Do not connect payments, purchases or external communications without specific human approval.
Pilot checklist
- 1Identify the projectContext
Check project code, date and room before dictating. A wrong location can contaminate the whole summary even when the text sounds coherent.
- 2Check factsControl
Check quantities, negations and status against the original note. Mark unverified observations and never close tasks by inference.
- 3Approve sharingDelivery
The supervisor approves both the diary and its recipients. Record the sent version and correct mistakes through an identifiable revision.
