Translating renovation quotes with AI: Spanish and English without scope changes

Two languages, one proposal

AI translation can make renovation quotations easier to discuss with overseas owners on the Costa Blanca. The risk arises when fluent wording changes an exclusion, a unit or how firmly a date is promised. An indicative quotation must not become a guaranteed price, and supply must not become supply and installation. The aim is for the client to understand the same proposal the professional reviewed in Spanish. This procedure prepares bilingual drafts; it does not replace specialist translation where the document or its consequences require that level of review.

Before translation, freeze an original version and give both languages the same identifier. Create a glossary for your company's terminology and explain its context: work item, making good, supply, removal, measurement and indicative estimate. Google documents glossaries for consistent domain-specific terminology. That helps repeat a chosen translation, but does not establish that the choice is suitable for a particular contract. Review the glossary with someone who understands construction and both languages, and retain those decisions so every quotation does not restart the same terminology debate.

What translation must never change

Check product references, quantities, units, currency, amounts, dates and item numbering. Preserve explicit statements about included taxes or unresolved tax treatment. Decimal notation and dates must be unambiguous for the recipient; do not guess the meaning of an unclear date. Request a discrepancy table and review the document line by line. A second summary from the same model is not, by itself, independent verification. Use a mechanical comparison for amounts and quantities as well as reviewing the wording. A beautifully translated offer with one changed unit is still wrong.

Consider PVC window replacement in Jávea for a British owner. The PVC window guide explains the service, but does not establish the performance of a specific product. Keep its model and technical sheet beside the translation. If the work is part of a larger intervention, connect it to the renovation design scope. Do not translate a community condition as permission already obtained, or a supplier's lead time as a handover date agreed with the client.

Client questions and version control

Invite the owner to ask about scope before acceptance. AI can draft a plain-language explanation, but must not invent guarantees, coverage or rights. If the client requests a modification in English, first record the request and then prepare the revised proposal in both languages. Avoid updating only the translation: it stops being a translation when it contains conditions absent from the original. Obtain appropriate advice on how discrepancies between versions will be handled; an AI-generated statement about which language prevails is not a substitute for that agreement.

Test exclusions, negations and terminology from several trades. Measure errors that alter commitments, not merely stylistic imperfections. Integrate the review with AI-assisted site documentation and the renovation business AI roadmap. For German-speaking owners, use the same method with competent German review; an English version does not automatically meet that need. The goal is an informed, verifiable decision, not sending more languages without checking that every version says the same thing.

An example to test the workflow

Example test: translate one item stating supply not included and another with a date awaiting confirmation. Check that both qualifications remain unambiguous. Add a product reference containing letters and numbers and verify that it is neither translated nor completed. Ask the reviewer to explain in their own words what each version includes. If the answers differ, correct the text before sending. This comprehension check is more useful than asking the AI to declare confidence in its translation or assign an unverified score. Record the correction in the glossary when the issue concerns reusable terminology.

Source and pilot boundaries

Reference consulted: Google Cloud. The workflow is Reformia's editorial proposal, not an announced product feature or a promise of results.

Before using real data, review access, retention and the AI provider's terms with your company's responsible person. Start with synthetic or anonymised information. The pilot must allow drafts to be corrected or rejected, original documents to be retrieved and work to continue manually if the service fails. Do not connect payments, purchases or external communications without specific human approval.

Pilot checklist

  1. 1
    Freeze the originalVersion

Identify the quote and date. Do not translate a draft while someone else changes amounts or exclusions without version control.

  2. 2
    Compare dataAccuracy

Review numbers, units and references side by side. Preserve unresolved conditions in both languages and record corrections.

  3. 3
    Resolve questionsUnderstanding

Clarify items the owner does not understand. An approved explanation should accompany the offer rather than silently changing it.

Frequently asked questions

Is English enough for every overseas owner?
No. Confirm the client's preferred language and the review required. Nationality and preferred language are not interchangeable.
Should brand names be translated?
Keep brands, references and codes unchanged. Translate the service explanation and review technical terms that could have multiple interpretations.
Can it be sent without review?
That is not a sound approach for an offer creating commitments. Have a competent person review scope, figures and exclusions before sending.
